TAFN COMMUNICATOR GUIDELINES These Guidelines were implemented in August 2004, amended in November 2006 and apply to all users of the TAFN Communicator. (1) Passwords: You are respectfully reminded that your user Id and password for the TAFN Communicator is private. Please do not pass them on to others, whether via email or other methods. The user name and password you have are unique to yourself and if others connect to the Communicator using these, it will be classed as gross miss-use of the server. (2) Introductions: Whether you are a member, friend or guest, if you want to introduce a friend or family member to the TAFN Communicator, please refer them to the TAFN WEBSITE http://www.tafn.org.uk where they will find a link to apply to join us. (3) Using real names: All users of the TAFN Communicator are requested to use their real name or a combination of real name in part and place of origin when signing in to the server. It is strictly forbidden to sign in pretending to be somebody else. (4) Courtesy: Please Show courtesy at all times to other users on the Communicator. This includes avoiding the use of bad language, being polite, refraining from any racial or offensive comments and acknowledging any new people that may join a room you are in. (5) Respecting privacy and confidentiality: Please respect the privacy and confidentiality of others. Unless information that you are told or overhear is stated otherwise, it should be assumed to be private and confidential. Please do not record any conversations on the server whether for technical help or personal reasons, without the express permission of the other users involved. All users of the Communicator will be aware that you have started a recording on the Communicator itself and Recording rights will only be given to certain members of the Communicator for administration or for the purposes of technical help. (6) Actual Use of the Communicator: Please avoid remaining silent for long periods of time when in a room where other users are talking, where possible notifying them if you are multi-tasking or have for example, received a telephone call. It is suggested that when you take or need to make a phone call, or have tasks to perform away from the computer and do not wish to leave the room, that you text a comment to the room alerting other users that you are not able to speak at that time. For advice on placing such comments, please speak to one of the allotted Moderators who will be pleased to explain this to you. If a comment is not heard from a participant in a room for some time, it may result in them being disconnected from the server by a Moderator. Moderators can be identified by the word Moderator beside their name on the locator frame. Please be aware that Texting privileges are given to all users but will be revoked if users abuse this privilege. Please only text in a room when necessary. Guests on the Communicator will not automatically have access to events on the server. If a Guest would like to be included in an event so as to ascertain if they would like to permanently attend as a member, they should contact the event organiser to request access to the room. This should be done giving at least 24 hours notice so that the administration can be carried out to allow this to happen. A list of events and their organisers will be available on the TAFN WEBSITE ALONG WITH A CONTACT E-MAIL ADDRESS. (7) Technical Support: Where possible we will assist new users in getting connected to the Communicator so that they can join and use the server, as soon as we can. We can also provide written support documents to help with this via email or in audio on our Website, However bear in mind that our Tech Support volunteers may be busy, especially when online events are taking place. There is now a 2 person technical support room entitled Additional Technical Support, for one to one tuition, if there are 2 people in this room please respect their need for privacy AND DO NOT enter this room unless specifically invited to do so. There is also a Triple Tec Room for 3 users, please also respect that these users wish to provide and receive private technical help. Tech Team advisors can be identified by the words Tech Team beside their name on the locator frame. (8) Password protected rooms: Certain rooms on the TAFN Communicator are password protected. The passwords for these rooms are also to be kept confidential. Only a few Rooms on the Communicator will need to be password protected,as they will fall into categories, but will mainly be passworded for events where the organiser would rather have control over the entry of users. (9) Abuse or misuse of the Communicator: TAFN has a Code of Conduct & in the event of anyone breaching that code or causing trouble, or an unauthorised person connecting to the server, that person may be ejected from the room by any Moderator, or banned by a full administrator. (10) Reporting abuse: There are now 4 full administrators and 7 Moderators of the Communicator, these are, Peter Beasley Moderator/Tec Team, Roann Clarke Moderator/Tec Team, Avtar Dahaley Moderator, Geoff Grant Moderator/Tec Team, Shirley Grant Moderator/Tec Team, Leon Gilbert (full admin), Peter Hallam Moderator/Tec Team, Steve Pallett Moderator/Tec Team, Chris Payne (Full Admin), Audrey Tonge (full admin), Robert Whiteside (Full Admin). When abuse of the server is noticed it should be reported to any available Moderator as soon as possible, If no Moderator can be found, it should be reported on the 0845 number given on the website as a help line, this number is, 08458382369 as one of the full administrators is going to be monitoring this line. (11) Use of multiple Voice Communication Programmes You are requested to refrain from using other voice communication programmes such as Skype, whilst on the Communicator, These Communication programmes may result in conversations on the server being relayed to outside parties and this request is to ensure privacy for all participants on the Communicator. (12) Loose Talk Room: After some consultation, it has been decided to create a Room on the Communicator called Loose Talk. This Room has been created so that a person can go to this Room to, for example, tell a joke that might give offence to others on the server. It is also the Room where any participant on the Ventrilo Server who feels they must use language that might give offence to others can go with anyone like minded to talk. It should be noted however, that although this room is being used for the purpose stated, the basic guidelines still apply and will be acted upon should the need arise. (13) Broadcasting of Audio Broadcast of any Audio such as Music or pre-recorded speech is not permitted in any rooms other than the designated MP3 Rooms on the Communicator, please keep any such broadcast to the allotted rooms on the server. (14) Private Rooms: There are now 2 rooms on the Communicator entitled "Me and You", and "Three's a Crowd" these rooms are specifically for 2 and 3 people that need to have a private conversation and may need to do this at a moment's notice. These rooms are not passworded and so you are respectfully requested not to enter these rooms when they have people in them and you have not been specifically invited. These rooms are not meant as a 2 and 3 person room that users of the server can spend several hours in at a time, the server is based on the principal of users all joining in together and so you are requested to use these rooms for as short a period as is possible and then to join the general rooms again.
